Privacy policy

What Orb collects, why, who helps us run it, and the control you have over all of it.

Last updated 29 October 2026

The short version

  • Your data is private to you. Every member has a private orb. Your documents, memory, journeys and conversations are yours, and other members cannot see them.
  • Memory is shown with its reasons, and can be forgotten. You can see everything Orb remembers about you, why it remembers it, and remove any of it with one tap or by voice.
  • Conversations do not pile up. Raw conversation is summarised, and then deleted within a week.
  • You can leave with your data. Export your data, or delete your account, at any time.
  • Orb is not therapy or medical advice. It is a coach for your work and your goals.

Who we are

Orb is operated by [legal name of the business, to be confirmed] (“we”, “us”). We decide how and why your personal data is processed for the service described here. You can reach us at [support email, to be confirmed].

What we collect

When you join the waitlist

Your email address, the description you choose (“I am a…”), any note you add, and the campaign tags in the address you arrived from, if any. We use these to invite you and to understand who Orb is for.

When you have an account

  • Account details: your email address and sign-in information.
  • Billing details: your subscription and payment status. Card details are handled by our payment processor, Stripe; we do not store your card number.
  • Your material: the documents, saved emails and web pages you add, and the documents Orb writes for you.
  • Your conversations: what you say to Orb and what it says back. When you speak, your audio is turned into text by a speech recognition service; Orb’s replies are turned into speech by a voice service.
  • Memory, journeys and settings: what Orb remembers about you, your goal journeys and check-ins, your modes, personality, pronunciation guide, voice and other settings.
  • Usage: how much conversation time and how many documents you use, so we can apply the monthly allowance.
  • Technical data: your IP address, browser type and the cookies that keep you signed in, used to run the service and keep it secure.

How we use it

  • To run Orb for you: answering from your material, speaking, planning journeys and checking in.
  • To bill you, and to apply the monthly allowance.
  • To keep the service and your account secure, and to prevent abuse.
  • To help you when you ask us for support.
  • To tell you about your account and changes to the service.

We do not sell your personal data.

Your data is private to you

Each member’s orb is kept separate from every other member’s: your documents, memory, journeys and conversations are only ever used to answer you. We access them only when that is needed to run the service, keep it secure, help you when you ask, or meet a legal obligation.

Memory

Orb remembers things about you so it can coach you better over time. Every memory is shown to you in Orb’s own words, marked as either something you told it or something it concluded, with its reason. Memories about your work are kept apart from personal ones. You can forget any memory with one tap, or by asking Orb out loud, and it stops being used straight away.

How long we keep things

  • Raw conversation is summarised, and then deleted within a week.
  • Your material, memory, journeys and settings are kept for as long as you keep them, or until you delete your account.
  • Billing records are kept for as long as the law requires.
  • Waitlist entries are kept until you ask us to remove yours, or until Orb no longer has a waitlist.

Export and deletion

You can export your data from your account at any time. You can also delete your account at any time; deleting it removes your orb, including its documents, memory, journeys and settings, and cancels your subscription.

Who helps us run Orb

We use a small number of service providers (sub-processors) to host Orb, run its model, recognise speech, generate its voice, search your material and take payment. Each receives only what it needs to do its part. The full list, and what each one does, is on the sub-processors page.

If you choose your browser’s own speech recognition in Orb’s settings, your browser handles that audio under its maker’s own terms.

Some of these providers are based in, or process data in, countries other than yours, including the United States. [Transfer safeguards to be confirmed during legal review.]

Not therapy or medical advice

Orb is a coach for your work and your goals. It is not therapy, and it does not give medical advice. Please do not rely on it in a crisis: if you or someone else is in danger, contact your local emergency services.

Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict how we use it. Most of this you can do yourself in Orb; for anything else, contact us at [support email, to be confirmed]. [Supervisory authority and region-specific rights to be confirmed during legal review.]

Children

Orb is not intended for children, and we do not knowingly collect data from anyone under 18.

Changes to this policy

If we make a significant change, we will tell members before it takes effect. The date at the top of this page shows when it last changed.
